These Terms of Service govern your use of the website located at https://inboxhero.win and all services provided by Inbox Hero, including our AIM (Artificial Intelligence for Mail) email analytics and processing platform.

By accessing and using the website and/or any services provided by Inbox Hero, you agree to abide by these Terms of Service and to comply with all applicable laws and regulations. If you do not agree with these Terms of Service, you are prohibited from using or accessing our website or using any services provided by Inbox Hero.

We, Inbox Hero, reserve the right to review and amend any of these Terms of Service at our sole discretion. Upon doing so, we will update this page. Any changes to these Terms of Service will take effect immediately from the date of publication.

1. Service Description

Our AIM platform provides intelligent email analytics and processing services that integrate with Microsoft 365 environments to:

  • Automatically categorize and analyze email content using artificial intelligence
  • Provide productivity insights and email pattern analytics
  • Assign status categories to emails for task and workflow management
  • Generate reports and analytics on email communication patterns
  • Process email events in real-time through Microsoft Graph API integration
  • Offer multi-tenant support for organizational email management

The service operates as a cloud-based platform hosted on Microsoft Azure infrastructure and processes email data in compliance with applicable data protection regulations.

2. Microsoft 365 Integration and Permissions

To use our services, your organization must grant appropriate permissions for our application to access Microsoft 365 data through Microsoft Graph API. This includes:

  • Read access to email messages and metadata
  • Permission to update email categories and extended properties
  • Access to user profile information for context and analytics
  • Ability to process email events and notifications

You acknowledge that:

  • Your organization's Microsoft 365 administrator must consent to these permissions
  • Our access is limited to the specific permissions granted
  • We comply with Microsoft's terms of service and security requirements
  • You are responsible for ensuring your organization has appropriate licensing for Microsoft 365 services

3. Data Processing and AI Analysis

Our services process email content using artificial intelligence and machine learning technologies to provide analytics and categorization. You acknowledge and agree that:

Standard Data Storage:

For normal operation, we store only the following email data to provide and improve our categorization services:

  • Category assignment linked to messageid (random identifier)
  • Email subject lines (to improve categorization accuracy)
  • Recipient and sender email addresses (to understand communication patterns and improve personalized categorizations)

Important: Email body content and attachments are NEVER stored during normal operation. These are processed in real-time for categorization but are not retained in our systems.

Full Tracing Data Storage

Full tracing is NOT stored during normal operation. Complete email content is only stored when diagnostic logging is specifically enabled by your organization's administrator. This diagnostic data is used exclusively for:

  • Troubleshooting AI classification accuracy issues
  • Improving categorization models for your specific tenant
  • Investigating processing errors or system issues
  • Providing technical support when requested

Diagnostic logging can be enabled or disabled at any time by your organization's administrator through the service settings.

You further acknowledge that:

  • Email content will be analyzed by AI models to determine categories, status, and insights
  • Processing includes analysis of email subject lines, email body, sender information, and metadata
  • All processing is performed in secure, encrypted environments
  • Personalized categorizations are generated based on recipient patterns and organizational context

4. Limitations of Use

By using our website and services, you warrant on behalf of yourself, your users, and other parties you represent that you will not:

  • Modify, copy, prepare derivative works of, decompile, or reverse engineer any materials and software contained on our website or in our services
  • Remove any copyright or other proprietary notations from any materials and software on our website or in our services
  • Transfer the materials to another person or "mirror" the materials on any other server
  • Knowingly or negligently use our website or any of our services in a way that abuses or disrupts our networks or any other service Inbox Hero provides
  • Use our website or services to transmit or publish any harassing, indecent, obscene, fraudulent, or unlawful material
  • Use our website or services in violation of any applicable laws or regulations
  • Use our website or services in conjunction with sending unauthorized advertising or spam
  • Harvest, collect, or gather user data without the user's consent
  • Use our website or services in such a way that may infringe the privacy, intellectual property rights, or other rights of third parties
  • Attempt to bypass, circumvent, or interfere with the security measures of our platform
  • Use our services to process personal data in violation of applicable data protection laws
